Addressing inefficiencies in editorial workflows

The team started from a familiar issue: publishing content often takes longer than expected, not because of a single task, but because of the way the work is organised.

Editors may need to revisit the same page several times to complete formatting, check accessibility, align with web guidelines or correct small errors. These steps are not always handled together, which can slow things down and lead to inconsistencies.

Instead of focusing only on content generation, the team chose to look at the workflow as a whole.

A step-by-step approach to content preparation

The proposed solution takes the form of a guided wizard integrated into Drupal.

It allows editors to upload documents or source material, including web content, which is then analysed and structured. Based on this input, the system generates a draft content plan aligned with predefined page templates.

From there, editors can review the suggested structure, make adjustments and validate the result before publishing. This helps bring key checks earlier into the process, rather than leaving them to the final stages.

Working with existing templates

A central design choice is to rely on existing page layouts rather than generating new ones.

The system distributes content across predefined components, such as titles, summaries and sections. This keeps pages consistent with established design standards and avoids unexpected results. It also reflects how editors already work in practice.

By reusing templates in this way, the time needed to build and structure a page can be reduced.

Built on existing Drupal capabilities

The solution builds on Drupal’s AI ecosystem.

It allows the use of different AI models and supports the integration of contextual guidelines, such as writing style, accessibility requirements or SEO considerations. This flexibility ensures that the tool can be adapted to different environments and editorial needs.

Demonstration and key functionalities

During the demo, the team showed how a document can be uploaded, processed and turned into a draft page.

The system identifies key elements such as titles, summaries and sections, and places them within the selected template. Editors can then review the result, make changes where needed and generate the final page.

This makes it easier to see how content is structured and to spot issues early on.

Looking ahead

The team outlined several areas for further development.

These include improving multilingual support, enabling the system to learn from user behaviour over time and extending the solution to other layout systems within Drupal. Additional features, such as compliance checks and testing automation, could also be integrated.

Supporting editors while maintaining control

Throughout the presentation, the team stressed that the tool is intended to support editors, not replace them.

All changes remain subject to human review, ensuring that responsibility for content remains with the editor.

The code has been made available to the community, allowing others to test the solution and contribute to its further development.

A practical step beyond the hackathon

The demo showed how the Hack & Roll solution could move beyond the hackathon and support day-to-day editorial workflow.

By focusing on workflow improvements and building on existing systems, the solution offers a realistic approach to supporting content teams while maintaining quality and compliance across the Europa Web Platform.
